A useful request does not need to be long. It needs the facts that help a supplier understand what is being requested and help a buyer compare responses on the same basis. Mark unknowns as unknown; they can be clarified during review.
Include the exact description, part number or SKU, drawing and revision, material or standard, dimensions, tolerance, finish and process. For a sample-based request, add photos, measurements and an explanation of what must match.
02
State quantity, quality and packaging
Give the unit of measure, initial order quantity and forecast separately. Describe the application and operating environment, critical checks, sample expectations, labels and packaging. List only documents that are actually required.
03
Set the commercial context
Name the destination country, known delivery point, requested timing, quote currency and preferred delivery term if known. State which substitutions may be considered and who approves them. UBP can review a brief for supplier search; this checklist does not establish price, availability, conformity or timing.

What to check
The checklist helps describe a request; it does not confirm technical conformity, price, availability, certification, route, customs clearance or delivery timing. Seek qualified review for complex or sensitive requirements before ordering.
